1. Who we are
Brocklesby AI Ltd, trading as Brocklesby, builds practical AI automation systems for businesses. The website address is https://brocklesby.ai.
For privacy questions, data requests or concerns, contact Max Brocklesby at max@brocklesby.ai.
2. Information we collect
We may collect information you provide directly through forms, emails, calls or project discussions. This can include:
- Name and contact details
- Business name, website and industry
- Business email address and phone number
- Information about your admin bottlenecks, tools, workflows and automation requirements
- Messages, attachments or examples you choose to send
- Billing and payment related information where relevant
If a project goes ahead, we may also process information needed to design, test and maintain the agreed automation.
3. How we use information
We use information to:
- Respond to enquiries
- Review automation audit submissions
- Identify useful automation opportunities
- Scope, build, test and maintain automation systems
- Provide support and service updates
- Manage billing, records and business administration
- Improve our website, services and internal processes
4. Lawful basis for processing
Depending on the context, we may rely on one or more lawful bases, including:
- Contract: where processing is needed to provide a service or take steps before a service starts.
- Legitimate interests: where we need to respond to business enquiries, improve services, maintain records or operate the website.
- Consent: where you actively choose to receive optional communications or where consent is legally required.
- Legal obligation: where we need to keep certain records for accounting, tax or compliance purposes.
5. Automation audit submissions
If you complete an automation audit, the answers are sent to Brocklesby for manual review. The website does not automatically show recommendations to you. We use your answers to understand your business and contact you with practical suggestions.
You should not include unnecessary sensitive information in the audit form.
6. Access to business tools
If a project requires access to email, spreadsheets, CRMs, calendars, Shopify, Zapier, n8n or other tools, access should be agreed before work begins. We aim to request only the access needed for the agreed workflow.
Access can often be limited, revoked or provided through separate user accounts depending on the tool.
7. Sharing information
We may share information with trusted service providers where needed to operate the website, manage forms, process payments, deliver email, host automations or provide the agreed service.
Examples may include website hosting, email providers, payment processors, automation platforms, form tools and cloud software providers.
Some of these providers, including AI and cloud platforms, may process data outside the UK. Where that happens, we rely on appropriate safeguards recognised under UK data protection law, such as the UK's adequacy decisions or standard contractual protections offered by the provider.
We do not sell your personal data.
8. Cookies and analytics
This website may use essential cookies required for basic functionality. It uses Plausible Analytics, a privacy-focused, EU-based tool that does not set cookies, does not collect personal data and does not track visitors across other websites. Only aggregate information such as page views and referring sites is recorded.
See the Cookie Policy for more detail.
9. How long we keep information
We keep information only for as long as needed for the purpose it was collected, including responding to enquiries, providing services, keeping business records, resolving issues and meeting legal obligations.
Enquiry data that does not become an active project may be deleted or archived after it is no longer useful. Active client data may be kept for the duration of the service and a reasonable period afterwards.
10. Security
We take reasonable steps to protect information, including limiting access, using reputable service providers and avoiding unnecessary access to client systems. No online system can be guaranteed completely secure.
See the Data Processing and Security Policy for more detail.
11. Your rights
Depending on the situation, you may have rights to access, correct, delete, restrict or object to the use of your personal data. You may also have the right to withdraw consent where processing is based on consent.
To make a request, contact max@brocklesby.ai.
12. Complaints
If you have concerns about how your information is handled, contact us first so we can try to resolve it. You may also have the right to complain to the UK Information Commissioner’s Office.
13. Updates to this policy
We may update this policy as the website, services or legal requirements change. The latest version will be posted on this page.
